Privacy Policy

RPD-X Solutions ("we," "us," "our") provides an AI-powered receptionist and business automation platform ("the Service") for restaurants and service businesses. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It covers two groups of people: businesses that use RPD-X (our customers, "you"), and guests, diners, and callers of those businesses whose information passes through the Service.

1. Information About Businesses Using RPD-X

  • Account information: name, business name, email address, and phone number when you create an account.
  • Authentication data: if you sign in with Google, we receive your name, email, and profile identifier from Google as part of the sign-in process.
  • Calendar access: if you connect Google Calendar, we access booking and availability data to schedule, reschedule, and cancel appointments on your behalf. We store OAuth access tokens in encrypted form.
  • Connected accounts: if you connect social or business accounts, we store the connection details needed to draft, schedule, or publish content you set up.
  • Billing information: subscriptions are processed by Stripe. We receive subscription status, plan, billing dates, and the payment method type (for example "card" or "bank account"). We do not receive or store full card or bank account numbers.
  • Usage data: standard technical data such as IP address, browser type, and access timestamps for security and diagnostics.

2. Information About Guests, Diners, and Callers

When someone orders from, books with, or calls a business that uses RPD-X, we process their information on behalf of that business so it can serve them. The business decides how it uses that information and is responsible for its own notices to its customers.

  • Online pickup orders: name, phone number, optional email address, the items and options ordered, any notes, tip, order totals, order and pickup status, and payment status. Card and bank payments are processed by Stripe; RPD-X does not receive full card numbers. The business sees the order so it can prepare it.
  • Reservations and bookings: name, phone number and/or email, party size, date and time, and any special requests, plus the reservation's status history.
  • Phone calls handled by an AI receptionist: the caller's phone number and call metadata (such as time and duration). Depending on how the business has configured its receptionist, call audio may be recorded and processed by our voice AI and telephony providers to produce transcripts and AI-generated summaries, and details the caller gives (for example a booking request or order) may be recorded. The business is responsible for giving callers any notice or obtaining any consent that the law requires for recording.
  • Customer records: the business's RPD-X workspace combines a guest's orders, bookings, calls, and messages with that business into a customer record (sometimes called Customer 360) that the business can view.
  • Messages: if the business sends confirmations or follow-ups, we process the guest's contact details and message content to deliver them, and record delivery status.

Guests who want to access, correct, or delete their information should contact the business they ordered from, booked with, or called. You can also contact us at the address below and we will work with that business on the request.

3. How We Use Information

We use information to operate the Service: routing and responding to calls, taking and tracking orders, managing bookings and reservations, generating call transcripts and summaries, drafting content and recommendations for the business, providing analytics to the business, maintaining security, and communicating with businesses about their accounts. AI features process the relevant records to produce drafts, summaries, and insights; their output can be wrong and is provided to the business to review.

4. Service Providers We Share Data With

We do not sell personal information. We share information only with providers that help us run the Service, including:

  • Supabase — database, authentication, file storage, and server functions.
  • Cloudflare — website hosting.
  • Stripe — payment processing for guest orders and business subscriptions.
  • ElevenLabs — conversational voice AI for AI receptionist calls.
  • Telnyx — telephony and SMS.
  • Anthropic — AI language models used for drafting, summaries, and insights.
  • fal.ai — AI image and video generation for marketing content a business creates.
  • Resend — email delivery.
  • Google and social platforms (such as Meta) — only when a business connects its calendar or accounts.

We may also disclose information if required by law.

5. Data Retention and Deletion

We keep business account data, and the guest, order, booking, and call data processed for a business, for as long as that business's account is active or as needed to provide the Service. We do not currently delete data on an automatic schedule. To request deletion of an account or of specific records, email us at the address below; deletion requests are handled by our support team, and we may need to confirm the request with the business that owns the records. Some information may be kept where required by law or by our payment processor.

6. Security

We use safeguards such as encryption of sensitive credentials and encryption in transit to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Choices

Businesses can update most account information in the Service and can request access to, correction of, or deletion of their information by contacting us. If you connected Google Calendar, you can revoke access at any time via your Google Account permissions or from within the Service. Guests should see Section 2.

8. Children's Privacy

The Service is intended for business use and is not directed at children. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date above.
